AI automation vs workflow automation: what is the difference?

Workflow automation moves work using defined triggers and rules. AI automation adds a model that can interpret or generate information. Most businesses should make the workflow clear first, then add AI only where interpretation creates a real advantage and a human can review meaningful exceptions.
Use rules when the answer should be predictable
A new enquiry assigned by region, a reminder sent before an appointment, or an approved record copied into a finance queue are rules-based steps. They need clear conditions, ownership and retry behaviour—not an AI model.
Rules are easier to explain, test and audit. They are usually the right first layer for operational work.
Use AI where language or messy input is the bottleneck
AI can assist with summarising a long enquiry, suggesting categories for an internal queue or preparing a first draft from approved material. Its output should be treated as assistance, not an authoritative record.
Avoid giving an AI tool unrestricted access to customer information, payment decisions or irreversible actions. Define what data it may use, what it may propose and when a person must approve the outcome.
Build the guardrails into the process
A practical design records the source, keeps an owner accountable, offers a way to correct a result and routes uncertainty to a person. The goal is a clearer operation, not a more impressive-looking automation.
