MyInvois or e-Invoice software: what does a Malaysian SME actually need?
Does your Malaysian business need e-Invoice software, or is MyInvois enough? Compare the portal, API integration and custom systems before you spend.
THE SHORT ANSWER
Not every Malaysian SME needs to buy or build e-Invoice software. Since 1 September 2026, businesses with annual revenue or sales below RM3 million are not required to implement e-Invoice. For businesses that do need to comply, the free MyInvois Portal can be enough at lower volumes; API integration becomes more useful when invoices, stock, orders or existing systems make manual entry inefficient.
First, confirm whether e-Invoice is mandatory for your business
Before comparing software, integrations or development costs, establish whether the requirement currently applies to your business. HASiL announced on 30 August 2026 that the e-Invoice implementation threshold would increase from RM1 million to RM3 million from 1 September 2026.
Businesses with annual revenue or sales below RM3 million are not required to implement e-Invoice under that announcement. They may still participate voluntarily, but the decision becomes less about compliance anxiety and more about whether the current invoicing process is creating an operational problem worth solving.
Requirements can change and individual circumstances matter, so confirm the latest HASiL guidance and, where appropriate, your tax adviser's advice before making a compliance decision.
An e-Invoice is not simply a PDF invoice
Many businesses already prepare invoices digitally, export a PDF and send it by email or WhatsApp. That is useful for day-to-day communication, but it is separate from the process of submitting the required transaction information through the MyInvois environment.
It helps to separate two questions: where does your business create and manage invoices internally, and how does the required transaction information reach MyInvois? The answer to those questions does not always need to be the same software.
Choose the simplest level that fits the real workflow
For most SMEs, there are three practical approaches. A low-volume business with a simple invoice process may work directly in the MyInvois Portal. A business with an established accounting, POS or ERP system may be better served by connecting that system. A company with disconnected orders, inventory, billing and payment records may need to review the wider operational workflow instead.
The right option is usually the simplest one that fits the actual transaction volume, the number of repeated handovers and the risk of re-entering the same information. Building software does not automatically make a process clearer.
The free MyInvois Portal can be enough
HASiL provides the MyInvois Portal without charge, particularly to help taxpayers who do not have their own business system for issuing e-Invoices. The portal supports document submission, review, rejection, cancellation and printing, and it can be accessed through MyTax.
That can be entirely reasonable for a small service business issuing a manageable number of invoices each month. If the team can prepare an invoice, enter the necessary information, submit it and retain the result without creating a bottleneck, a more complicated integration may not be justified.
A useful question is not whether a portal is sophisticated enough. It is whether the manual work is genuinely small, consistent and safe for the people who need to perform it.
API integration is useful when duplicate work becomes the problem
The case for integration changes when employees already create transaction data inside another system and then have to enter the same details again. For example, a distributor issuing many invoices each working day may already have customer, order, product and price data in an ERP or order-management system.
In that case, a connected flow can move from sales order to invoice, send the necessary data to MyInvois, return the validation result and record the status in the business system. Integration still needs careful design. Agree what triggers a submission, where validation status is shown, who handles rejected documents, what is retried after an outage and which system is authoritative for each record.
Sometimes e-Invoice reveals a wider operations problem
A common workflow begins with an order in WhatsApp, continues in a spreadsheet, checks stock somewhere else, creates an invoice in another tool and tracks payment in yet another place. Adding one more e-Invoice step to that process does not resolve the underlying fragmentation.
For this kind of business, it is more useful to map the whole path: customer, order, inventory, invoice, e-Invoice, payment and reporting. A connected invoice and inventory system can reduce repeated re-entry by giving those records a clearer shared workflow.
Do not automate a process that nobody has agreed on. First clarify where an order begins, when stock changes, who can issue an invoice, who owns corrections and what happens when an external system is unavailable. Then automate the repeatable parts.
Small retailers should also assess MyInvois e-POS
HASiL also provides MyInvois e-POS free of charge to micro, small and medium enterprises. It includes sales management, accounting, inventory management, financial reporting and the ability to generate e-Invoices during or after transactions.
A retailer should not commission a custom POS or inventory platform solely for e-Invoice capability if the official tool already covers the operational requirement. Custom development becomes more reasonable when the business has specialised approval rules, unusual inventory behaviour, several systems that must share data or customer-specific processes that the standard option cannot support.
Start with the workflow, not the software
Begin by confirming whether e-Invoice applies, then count the real transactions and map where customer, order, invoice and stock information currently lives. Identify every point where employees copy the same information, wait for another person or reconcile records between systems.
Next, check whether the existing accounting, POS, ERP or business system already has a suitable MyInvois integration. Use the free official tools if they solve the requirement adequately. Consider a connection or a custom system only when there is a clear operational reason to do so.
The best e-Invoice setup is not necessarily the most advanced one. It is the one that meets the current requirement while creating the least unnecessary work for the business.
