AI & automation

Where should a Malaysian SME start with business automation?

A practical way to choose the first manual process worth automating without creating a more complicated workflow.

THE SHORT ANSWER

Start with a frequent, rules-based handover where people repeatedly copy information, chase an update or send the same reminder. Automate the smallest useful step first, keep a named human owner for exceptions, and measure whether the handover became easier.

Look for repeated handovers, not the flashiest tool

A useful first candidate usually happens many times a week and follows a recognisable pattern: a form arrives, someone checks it, information is copied into another system, and a colleague or customer needs an update.

Do not begin with a process that changes every day or depends on judgement that has never been written down. Those processes need clarification before software can make them safer or faster.

Map the current path before choosing AI

Write down the trigger, the information that moves, the decision points, the owner and the failure route. This makes hidden work visible and prevents an automation from silently dropping an important exception.

AI can help when the work includes summarising, classifying or drafting. It does not replace the need for clear permissions, source data and a human decision where the consequence matters.

Define a small success measure

Choose one observable result such as fewer copied records, a shorter response time or fewer missed follow-ups. Review the exceptions after launch; the exceptions often show the next improvement more clearly than a dashboard does.
